Senior Executive Assistant
This Third-Party Logistics outfit is a global player specializing in areas such as freight forwarding, Warehousing & E-commerce with an ever expanding presence across Greater China including a Hong Kong based HQ.
The successful candidate for this role will be tasked to support the Managing Director – Hong Kong & Southern China in planning, directing, managing, and coordinating day-to-day business activities.
To briefly summarize:
- Assist Managing Director – Hong Kong & Southern China to track and provide analytical reports on the development of strategic initiatives, financial/ business performance, and the market
- Carry out specific management projects
- Manage the implementation of internal processes on behalf of the Managing Director – Hong Kong & Southern China
- Prepare agendas, briefings, and preparation materials for meetings, appointments, and events; work closely with other leadership team members to gather agenda items, briefing notes, and other materials, as needed. Distribute meeting materials in advance of meetings
- Attend many of the Managing Director – Hong Kong & Southern China highest priority meetings internally and externally, recording notes and taking accountability for follow-ups
- Monitor tasks delegated by the Managing Director – Hong Kong & Southern China to ensure that completed work is achieved to agreed deadline
- Engage with leaders across the organization to identify emerging issues and advise the Managing Director – Hong Kong & Southern China on emerging priorities
- Organize the company event and Exhibitions together with Marketing team
- Liaise with internal and external parties to ensure smooth business operations
- Capable to handle multi-tasks and comfortable to interact with people at all levels
- Perform ad-hoc duties as assigned
Ideally the successfuly candidate will come from the following background:
- Degree in Business Administration, Logistics, or related disciplines
- At least 3 years of experience of working in logistics and in-depth knowledge of Air & Ocean business
- Self-starter with strong organizing and time management skills and the ability to work productively and efficiently in a fast-paced environment with multiple projects and timelines.
- Very strong interpersonal skills and the ability to build relationships with key stakeholders
- Forward looking thinker, who actively seeks opportunities and proposes solutions
- Ability to maintain confidentiality of all information encountered
- High proficiency in MS Office applications including PowerPoint, Excel, Word; knowledge in MS Excel Macro/VBA tool is highly preferred
- Good command of the English, Cantonese, and Mandarin.
- Ability to work under pressure, plan personal workload effectively
